All insight reportsAn invoice can arrive by email, be prepared for review and pass into the accounts system without being typed again. This Insight explains the approach. The accompanying guide sets out the connections, controls and pilot in more detail.
Executive summary
The useful result is a connected job. AI reads the incoming document and prepares supplier details, references, line items and totals. The team sees the original beside the proposed fields, completes the agreed review and passes the approved information to the system it already uses. The time saved comes from removing repeated preparation and entry across those steps.
That process can work across different supplier layouts. Reviewed corrections and new examples can improve extraction instructions, supplier mappings and checks through tested updates. A new document does not automatically retrain the underlying model. Unclear wording or difficult handwriting still needs a route to clarification rather than an invented answer.
At BespokeWorks, we estimate that we have tested these workflows on around 10,000 documents across work with active clients. Clients describe mistakes as uncommon, with unclear invoices and difficult handwriting among the issues reported. That is an estimate and qualitative feedback, not a measured universal accuracy percentage. For a new business, we test its own documents and measure completed work, including review and corrections.
We can connect the process to systems such as Xero, QuickBooks Online and Zoho Books, together with the inbox, CRM, purchasing or stock tools around them. The supported connection, product edition and allowed action are confirmed for each build. Xero supports draft bills; a QuickBooks workflow can review the proposed data before creating the Bill. Payment and supplier-bank changes keep their own permissions.

What the report covers
From inbox to a connected record
Follow a document through preparation, checks, review and transfer. Keep the source reference and the destination record connected, so staff can see what happened.
Xero, QuickBooks and the systems around them
Choose the right accounting record, supplier mapping and approval stage. The guide explains what differs between products and what to confirm before connecting them.
Different layouts and reviewed improvements
Handle supplier formats, scans and handwritten notes. Use approved corrections to improve the workflow, then test changes against earlier examples before relying on them.
Review and recovery
Show the original beside the proposed fields. Assign unresolved details, control the action approval permits and reconcile uncertain transfers before retrying.
A pilot that measures the finished job
Define whole-document and field accuracy, time the review and count downstream errors. Use the worked example and practical brief to scope a first workflow.
How it was researched
This guide combines BespokeWorks workflow experience with the linked customer-support and consulting studies, plus first-party Xero and Intuit documentation. The studies concern particular tasks, not invoice accuracy. The guide distinguishes the owner’s approximate document volume and qualitative client feedback from measured results, and labels all illustrative records.
Questions for your team
- Which information does your team enter more than once, and where does it go next?
- Who should approve the prepared record, and what exactly should that approval do?
- Which document formats, checks and exceptions must a first pilot cover?
